The On Boarding Process: Creating a Job Description & Job Offer

On Boarding is the process of bringing someone up to speed in the business.

Provide a Written Job Description, a Written Job Offer, and Employee Handbook. This way, there’s no misunderstanding.

The Job Description includes the tasks they’re being hired for and the outcome

The Job Offer:

Job Offer Template

The job offer only includes wages and benefits. If you offer health insurance, when that health insurance begins. Ours is 30 days from the start of work. We pay 2 thirds, they pay 1 third. Make sure you write that in the offer.

Make sure it’s not a contract, write on the offer that it’s not a contract. In New Jersey, we say you are an “At Will” employee. “At Will” means you work at the will of the employer. So, if for instance, we slow down, we can just let you go and there is no breach of contract.

If they agree and accept the job offer, we have an Employee Handbook then they must read and sign that they have received and read the Handbook.

The Employee Hand Book:

It’s a requirement for them to read it and sign that they read it so there’s no misunderstanding.
Employee Hand Book Contents Examples:
If they call in sick and you need a doctors’ note.
If they call in sick twice in a 3 month period, or don’t come in to work twice in a 3 month period, they take a week of without pay to think about whether or not you really want to work here, as an example.
Your discipline methods.
How their appearance should look.
I know in our handbook, it’s very thorough and everything we need to cover is in it.
They go over it on their own time, read and sign that they read it. They have to get it back to us before they even come to work on the first day. If they don’t, they’ll come to work on the first day and never read the handbook or signed off of on it.
**There will ALWAYS be some kind of misunderstanding later if they don’t read and sign it!**

Integrate them with the team: You want to introduce them to all of the other team members.
Get them to meet the people they’re going to be working with.
Buy everybody lunch and sit down together and hang out. Make them feel at home. Get them into your business.

Filling out the forms: You’ll need to get them a “W-2” form and get them on your payroll.
If you offer Direct Deposit, you’ll need their bank account number, etc.
If you use a payroll company, you’re going to need to get all that information to them.
We do our own payroll using Quickbooks.

Books they must read before they come to work:
“How to win friends and influence people” by Dale Carnegie – This book is probably the most timeless classic of all books based on how to be a decent human being.
“The Ideal Team Player” by Patrick M. Lencioni – This book tells them exactly how to work as a team in a business.
“The Dream Manager” by Matthew Kelly – This book helps your employees achieve their goals. We also have a Dream Manager program in our business.
